Requesting an Indian document from abroad starts with a precise question: what document does the receiving institution need, and which Indian authority can issue it? A birth registrar, university, police-clearance authority and court registry have different rules. Some steps can be handled remotely; others require the applicant personally.
1. Identify the document and intended use
Obtain the recipient’s checklist and specify the document, issue country, intended country of use and deadline. Distinguish an existing-record copy from a correction, new registration or new legal proceeding. A degree copy is different from a transcript or university verification; an administrative legal heir certificate is different from a court-issued succession certificate.
2. Check feasibility before opening the case
Confirm jurisdiction, eligibility, available records, access rights, permitted representation and any personal application, attendance or verification. A signed authorization does not override the issuing authority’s rules. For PCC, begin with the applicable Indian Mission/Post guidance or domestic Passport Seva route. For birth and death records, consult the competent registrar and official civil-registration service information.
3. Agree the scope and costs
The quotation should identify the output, included coordination, any required professional engagement and estimated third-party expenses. LexBridge8’s public Base Service Fees are Birth USD 349; Marriage USD 449; Degree USD 449; PCC USD 598; Death USD 398; Divorce Decree USD 698; Name Change Gazette USD 698; Domicile USD 398; and Legal Heir USD 698. NABC is Price on consultation.
Necessary government, authority, travel, courier and other third-party expenses are charged separately at actual cost. Any document bundle discount and eligible Base Service Fees are confirmed in writing. Additional work or charges outside the accepted quotation require prior written approval. Payment methods are Wise, bank transfer and Stripe.
4. Complete the case-opening requirements
After feasibility is assessed, confirm the required documents, identity checks, accepted authorization and any personal requirements. Sign the Engagement Agreement before payment. Choose 70% initially with 30% before final release, or 100% upfront. SHERYLUX8 confirms receipt of the initial payment and formally opens the case before work begins. Work Commencement additionally requires the first substantive task within the agreed scope; enquiry, assessment, correspondence and quotation alone do not qualify. The opening date and case-specific time estimate are confirmed in writing. A 2–6 week estimate may apply to eligible standard retrieval cases; it is not a government issuance guarantee or a promise for every document type.
5. Follow the permitted process and review the output
LexBridge8 coordinates the agreed administrative and authorized local tasks, while applicant-only steps remain with the applicant. Progress is shared at milestones through the agreed communication channel. Available scans and supporting receipts help you review the retrieved document. Authorities may require additional checks or decline a request; professional involvement does not guarantee a particular decision.
6. Separate retrieval, translation and authentication
The recipient decides which translation, notarization, authentication or apostille is required. India-issued documents follow the relevant Indian route; see India MEA apostille and attestation guidance. Japan MOFA apostille is for eligible Japan-issued documents, under MOFA’s current requirements. It does not apply to India-issued documents simply because the client is in Japan.
Japan Desk pricing is USD 349 for the first eligible apostille document and +USD 119 per additional document in the same order. Japanese ↔ English translation starts from USD 198 per document. Express coordination is +USD 149 where available and does not guarantee accelerated government processing. Postage or courier is additional at actual cost.
7. Confirm delivery and close the case
DHL or EMS may be arranged according to preference, destination and availability. Any additional cover must be agreed under the carrier’s terms. Transit and customs time are separate from government processing. Tracking and available records are shared, and original documents are dispatched after all agreed amounts due are settled. Under 70/30, after the final 30% is confirmed and the document is ready, dispatch normally occurs within two business days. Digital deliverables are released only after final payment. See the Terms of Service for Work Commencement and cancellation.
Prepare for a useful first inquiry
Tell us the document, issuing authority or institution, approximate record date, intended recipient and deadline. Mention known corrections, missing records, appeals or access restrictions. Do not send unnecessary identity or sensitive records until the required checklist and handling channel are confirmed.
