Applying for a job abroad and applying for permission to work there are different processes. Preparing a useful document folder early can save time, but ordering every certificate, police clearance and apostille before an employer asks can create unnecessary expense.
This guide is for Indian applicants planning an overseas job search. It draws on current official recruitment, employment and immigration guidance for Japan, the UK and Canada, alongside recruiter advice. It is a practical preparation framework, not a statistical ranking of documents requested worldwide or a universal visa checklist.
Start with the job application, not a visa checklist
Read the vacancy and identify who is asking for each document: the employer, a recruiter, a professional regulator or an immigration authority. Ask when it is needed and whether an ordinary scan is sufficient. Also establish whether the employer accepts overseas applicants and whether you already have the necessary work rights or will need sponsorship or a permit.
Canada’s Job Bank makes this distinction explicit: international candidates should check work-permit eligibility and regulated-occupation recognition, then target vacancies open to candidates from outside Canada. Document preparation alone does not establish work eligibility. [1]
Your first preparation folder
A tailored CV or résumé
Prepare a clear account of your relevant experience, education, skills and contact details. Match the vacancy honestly and check the employer’s requested format. Hays’ US guidance prioritises these elements and advises against adding marital status, children or references to the résumé itself. Keep referees’ details separately and obtain permission before sharing them. Local formats differ. [2]
Qualifications and academic records
Locate your degree or diploma, relevant marksheets and transcripts. Check that names, dates and institution details are legible and consistent. You may initially need only a résumé entry or scan; formal verification, recognition or certified copies depend on the employer and occupation.
A concrete recruitment example is Japan’s 2026 JET Coordinator for International Relations recruitment in India: its application checklist included academic transcripts, graduation evidence, references and proof of nationality. That recruitment round is closed; it illustrates a specific employer/programme’s requirements, not a rule for every job in Japan. [3]
Evidence of experience and professional registration
Keep employment or experience letters, a reliable timeline of roles, and relevant licences or registration details available. Ask whether an employer needs dates and job titles, duties, a reference or formal verification—these serve different purposes. For a regulated profession, check the destination regulator before assuming an Indian qualification or licence permits practice. Job Bank also flags credential recognition for regulated occupations. [1]
Identity and name consistency
Check passport validity and the spelling of your name against your academic and employment records. A passport is central to travel and many later immigration applications, but a full passport copy is not automatically needed with every first job application. Share sensitive copies only through a verified, appropriate channel when the recipient explains the purpose.
If records use different names, ask what linking evidence is accepted. A name-change record, marriage certificate or other relevant document may help explain a discrepancy. Birth and marriage documents are not universal job-search requirements; they may become relevant to identity linkage or accompanying-family applications.
Japan: separate application documents from visa documents
Nagoya’s official foreign-worker employment service lists a résumé and work-history document for job applications, plus a Hello Work referral letter when applying through that route. Its registration guidance for people using the service in Japan also concerns residence documents. Those local-service requirements should not be presented as a universal checklist for applicants still in India. [4]
At the later visa stage, Japan’s Ministry of Foreign Affairs lists documents such as a passport, application form and photograph for the working-visa category described on its page, and explains the Certificate of Eligibility route. A COE does not guarantee a visa; additional requirements depend on nationality and circumstances. Check the relevant Japanese mission and exact status of residence. [5]
When does police clearance become relevant?
A Police Clearance Certificate is not required from every person simply to apply for a job abroad. A particular employer, regulated role, safeguarding check or immigration route may require criminal-record evidence. Confirm the issuing route, country coverage, acceptable issue date and submission stage before ordering it.
For example, UK Skilled Worker visa guidance requires an overseas criminal-record certificate for specified work, including certain education, healthcare and social-service roles. It does not list it as a universal requirement for every Skilled Worker applicant. [6] The 2026 India JET recruitment notice applied a particular criminal-record condition at its initial application stage. That programme-specific rule is not a general Japanese employment rule. [3]
For India-origin PCC enquiries, applicant location, jurisdiction and the applicable Passport Seva/RPO, Indian mission or police route matter. The receiving body determines its acceptance window; do not assume a universal six-month legal validity. See our India PCC support page for case assessment.
The job offer and work-permit stage have their own checklist
The UK Skilled Worker checklist includes sponsorship details, evidence of English and identity, with additional documents depending on circumstances. Marriage or birth evidence may become relevant where dependants apply. Certified translations can be necessary for documents outside English or Welsh. These are immigration requirements, not instructions to attach everything to a first résumé. [6]
Canada’s outside-Canada work-permit guidance similarly distinguishes general application documents from conditional supporting evidence. An employer-specific application can involve employment letters, references, evidence of experience, a licence where relevant, and employer-supplied offer or labour-market documentation. Use the personalised checklist for the actual permit route. [7]
Do you need apostille, legalisation or translation now?
Not automatically. First obtain the receiving body’s requirements for the exact document and purpose. Ask whether it needs an ordinary copy, a certified copy, verification by the issuer, translation, apostille or another authentication route. A requirement for one document or destination does not establish the requirement for another.
For Indian documents, confirm the relevant India-side authentication process. Japan MOFA apostille concerns eligible Japan-issued documents; it is not a route for apostilling Indian degrees. Avoid paying for authentication before confirming what the employer, regulator or immigration authority will accept.
A practical sequence before spending money
- Choose target roles and countries, then check work eligibility and any professional-registration requirements.
- Prepare your tailored CV and organise readable copies of relevant qualifications and experience records.
- Resolve missing records and name discrepancies early, without assuming every document needs certification.
- Ask the verified recipient for its written checklist, format, acceptable issue date and deadline.
- Order PCC, translation, apostille or other services only when the applicable requirement is clear.
- Keep job-application, employment-screening and immigration checklists separate as the case progresses.
